Job Responsbilities:

Project Procedural Assistance - Prepare, track and expedite receipts of Requests for Quote (RFQ). Act as a centralized bid control center responding and communicating feedback to suppliers and customers on contracts, RFQ’s and service agreements. Create macro level summary of proposals and communicate to sourcing project team. Help Sourcing Specialists in setting annual cost standards. Create price increase impact reports for negotiation. Organize and track new product development projects in the sourcing database. Identify repetitive or quantity purchases and consult with Sourcing Specialist for negotiation on any maintenance, repair, operating (MRO) purchases under $10,000. Create and maintain work instructions for major system processes and problem solving. Lead Ariba B&I training for individuals and small groups assigned.

Project Maintenance - Place Pcard purchase orders and amendments direct with suppliers using supplier websites and over the phone.. Create and maintain Capital project files to collect competitive bids, summary reviews, negotiation plans, meeting notes, specification questions and clarifications. Create and maintain capital equipment supplier bidding records and practices. Compile and maintain capital equipment history record by machine function and supplier. Set up and train new users on large customer account’s systems. Maintain energy data and tracking metrics. Maintain a secure file for indirect supplier contracts in both electronic and hard copy forms.

Miscellaneous - File documentation of used equipment sales. Follow up and assist in resolving invoicing discrepancies. Maintain secure filing system for contract documents. Prepare and send NDA (Non-Disclosure Agreements) and follow up returns to gain signatures. Send out new supplier ASL (Approved Supplier List) documentation and follow up with suppliers until returned. follow up and assist in resolving invoicing discrepancies. Periodically update Purchasing Assistant task work instructions. Perform other duties as assigned.
Qualifications:
- 2-4 years related experience
- Associate’s degree (Supply Chain or related business field)
- Non-degree considered if 6+ years of related experience along with a high school diploma or GED
- Very little to no travel
- Overnight stays unlikely
